Receipt Tracker
Receipts (Receipt Tracker) helps you store purchase records with images when you attach them, refine AI-parsed details, and find receipts later by merchant, date, category, and more.
Who can use it
Receipt Tracker is included with personal user accounts (the same role that uses “My Documents” and related personal features). Business accounts see a short note pointing to personal accounts for this feature.
Turn it on under Settings → Extended features → Receipt Tracker. You must be signed in.
Add a receipt
From the main receipts page:
- Upload — choose an image or PDF from your device.
- Photo — capture with your camera when you are on a phone or tablet (the file input uses the device camera when supported).
Cropping photos
If you upload a photo rather than a PDF, you may see Crop receipt image first. Drag the corners to frame the receipt, then Continue. Cropping keeps the important area sharp for parsing.
Review and save
After upload, the app sends the file for AI extraction (merchant, purchase date, totals, tax, payment method, category, and line items when readable). While parsing runs, you will see a short loading state; photos can take up to about a minute.
In Review & save:
- Fields the model is unsure about are highlighted — check merchant, date, and total especially.
- Adjust category, note, and line items as needed.
- Toggle Business expense when the purchase is for work or taxes rather than personal spending.
- Save receipt stores the record. If a receipt with the same merchant, date, and total may already exist, you will be asked to confirm before saving a duplicate.
If your storage quota is full, confirm the prompt to save receipt details without the image so totals, dates, and merchant still land in your tracker.
List and calendar
- List groups receipts by month (purchase date when set, otherwise when the receipt was added).
- Calendar shows which days have receipts in the selected month; pick a day to see that day’s items. Dates follow your local calendar day.
Tap a receipt to open its detail page (the URL ends with the receipt id).
Search and filters
- Search matches text in merchants and notes.
- Quick date presets: this month, last month, this quarter, this year, or any time.
- Filters (expand with the Filters button): custom from/to dates, merchant contains, categories, source (camera, upload, email), business vs personal, min/max total, and whether a note exists.
Reports
Report opens Generate report. Choose a date range, filter to business receipts only if you want, format PDF or CSV, and for PDF whether to include receipt images. There is a one-click Accountant preset (business, current calendar year, images on) to speed up year-end exports. Download fetches the file.
Receipt detail page
On a single receipt you can:
- View or open the image when one is attached, or read the on-screen summary when the receipt was saved with data only.
- Download the stored image when available.
- Extract from image runs AI again; you can Apply parsed values or discard the suggestion.
- Edit the same fields as at save time, then Save changes.
- Delete removes the receipt and stored image after confirmation.
For Electronics & Equipment, a short reminder may appear about how long ago the purchase was, to jog warranty or return windows.
AI accuracy
Treat extracted numbers and dates as drafts until you verify them against the original receipt—especially for taxes or reimbursements. For general guidance on reviewing AI output in hivi, see AI reliability notice.
